Race Images photographs mass-participation sports events and uses face matching so you can find your own photos. That means we handle something the law rightly treats as sensitive: your face. This page explains exactly what we do with it, in the same plain language we use everywhere else.
What we collect
- Your account: an email address, confirmed by a one-time code each time you sign in (we never store passwords for customers).
- Your selfie: the photo you upload so we can find you. It is stored in a private bucket and is never shown publicly or used in marketing.
- Event photos: taken on course by our photographers, under the event's photography notice and entry terms.
- Purchase and download records: what you bought, when, and which files you downloaded (we keep this as our tax record and as evidence against payment fraud).
- A mobile number, if you ask for an SMS: used once, to tell you a gallery has opened.
How face matching works
When you upload a selfie, Amazon Rekognition (running in AWS's Sydney region, where all our data stays) converts it to a face signature: a set of numbers describing facial geometry, not an image. That signature is compared against the signatures of faces in event photos, and the matches become your gallery. We use your selfie and its signature for one purpose only: finding your photos. Never advertising, never profiling, never sold or shared.
How long we keep things
- Your selfie stays on file so future events can find the person in it automatically, until you delete it, which you can do at any time in your account. Deleting it also removes its stored match results. If you have added children, each child's selfie can be deleted individually, in the same place.
- Order-time selfie snapshots: when you buy a pack we keep a copy of the selfie used at that moment with the order record. This is our protection against account-swapping fraud, and it stays with the order even if you later delete your profile selfie.
- Purchase records are kept as long as Australian tax law requires.
Under 16?
If the person in a selfie is under 16, their parent or legal guardian must upload it and give consent on their behalf. That's what the consent checkbox says, and we mean it. At kids events you can add each child by name in your account: their selfie is stored against their name, their photos are searched separately, and you can remove any child's selfie (with its match results) individually at any time, without touching anyone else's.
Deleting your data
Delete your selfie (and its match results) any time in your account. If you want your whole account gone, email support@raceimages.com.au and we'll remove everything except what tax and fraud-defence law requires us to keep (order records and their selfie snapshots, as above).
